Your personal data – what is it?
Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation 2016/679 (the “GDPR”) and the Data Protection Act 2018, (the “DPA 2018”).
Who we are?
The Retallack Owners’ Group is an organisation which represents the interests of lodge owners at Retallack Resort | Cornwall. It is a closed group and membership is only open to bona fide private lodge owners at the site.

The Retallack Owners’ Group committee are joint Data Controllers (this means they decide how your personal data is processed and for what purposes), which means we are all responsible for how we process your data.
What data do we collect and store?
Profile Data
When you submit a request to register as a member, you will be asked to fill in two forms providing data about yourself and your property/properties. This enables us to check your eligibility to join the group and to understand the context of any topics and/or comments you may post on the site.
Personal data entered on the Registration form is stored in your User Profile. When you are logged in to the website, you can view your own User Profile. Other users (with the exception of the site administrator) are unable to view these details.
Lodge ownership data entered on the Complete Registration form is not stored in your User Profile. Only the site administrator and the committee have access to this data.
Topics and Comments
When members post topics or leave comments on the site we collect the data submitted, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Your Display Name (as provided on registration) will be displayed alongside your topics/posts/comments.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Who do we share your data with?
Member profile data and property ownership data will only be available to the Retallack Owners’ Group Committee and any site moderators or administrators they may appoint.
Topics and Comments will be visible to all members.
We may contact Away Resorts to confirm the following information you have shared with us:
Name, Email, Phone Number, Lodge Ownership, Away Account Number
We do not share member data with any other external organisations.
If you request a password reset, your IP address will be included in the reset email.
How long do we retain your data?
If you post a topic or leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For members that register on our website, we also store the personal information they provide in their user profile. All users can see and edit their personal information at any time. Users may also delete parts of their profile data which are not necessary to confirm membership eligibility. Website administrators can also see and edit that information. Profile data is stored for as long as the user remains a member of the Retallack Owners’ Group. If you leave the group or sell your resort property, your profile data will be deleted after one year unless you request it to be deleted earlier.
Where do we send your data?
Topics and comments may be checked through an automated spam detection service.
What rights do you have over your data?
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
